Firm adds efficiency with fully integrated print management

Insight into opportunities courtesy of TA Triumph-Adler, and its LegalPack solution, helped a law firm to focus on its print output far more holistically and transparently

The facilities manager of a well-established law firm based in north west England approached TA Triumph-Adler as it had a need for a simple pull-printing solution that would offer added security.

It became apparent that it wasn’t just a simple pull-printing solution that was required; the firm also needed a secure scanning facility that would manage a centrally controlled user address book. It also had a requirement to accurately account and charge for document output, quickly and easily.

“Having met with members of the TA Triumph-Adler solutions team, we realised that our needs were a lot more complex than initially anticipated. We needed access to reports that would show total transparency of our entire print output,” the manager says.

The firm liked that the team explained how each of their objectives could be met. They were particularly impressed with the introduction of the TA Triumph-Adler solutions architect into the initial scoping meeting to explain how each solution could overcome the pain-points, as well as his continued involvement in the project all the way to implementation and beyond.

The team offered a proposal based on the TA Triumph-Adler LegalPack — which provides solutions for billing and cost control, rules-based printing, document and data security, and forms management, all with a focus on delivering a professional print output strategy for solicitors, as well as barristers, magistrates and law courts.

“Our needs were a lot more complex than initially anticipated. We needed access to reports that would show total transparency of our entire print output”

Scanning and archiving, from physical to electronic documentation, is important — and data security remains a major concern. The successful proposal focused not only on pull-printing but a fully integrated scanning facility.

The manager adds: “We were impressed by how quickly, and with little disruption, the installation took place. The implementation of cost centre code allocation, based on both user profiles and predefined job codes, was quick and simple, enabling monthly reporting and cost allocation at the touch of button. We wouldn’t hesitate to recommend TA Triumph-Adler to like-minded firms.”

Rather than a simple scanning process of address books maintained on each device individually, the secure scanning facility now manages a centrally controlled user address book across the entire network – allowing for easy administration. Implementation of group policies for function control, such as prevention of colour output, is also possible.

The firm now has an efficient, fully integrated solution that’s easy to maintain, fully supported by TA Triumph-Adler – which not only provided the initial pull-printing functionality but answered issues about which it was not immediately aware — and provided a significant cost reduction over the entire print output.

The team at TA Triumph-Adler has not only secured the hardware lease — it’s ensured a longer-term, stronger relationship with the firm, solving the problem presented but also looking at the output environment as a whole.
